Exhibition of Members’ Icons in the Undercroft of  Westminster Abbey
from Thursday, September 18th to Saturday, September 20th

Information for members wishing to exhibit

All members are invited

Date and time:  An exhibition of BAI members’ work will take place from 18th – 20th September 2025 (Thursday to Saturday) during Westminster Abbey’s opening hours: 9:30am – 4:30pm.  All exhibitors plus one guest, will receive one free entry of their choice of day during the exhibition. There will also be opportunity to sign up for guided tour of the Abbey during the exhibition.  The opening reception will be held on 17th September (Wed) at 6-8pm.  Evensong at the Church will commence at 5pm for 45min everyday.  All are welcome too.
Location: The exhibition will be held in The Undercroft of Westminster Abbey, 20 Dean’s Yard, London, SW1

Hanging Fee:  £6 per icon (£3/icon for those on means tested benefits).  Each exhibitor may submit up to three icons.
Dimensions of icons: Display panels are 1m wide by 2m high.  Icons must not exceed 85cm in width or height.  Larger icons must be displayed on easels provided by the exhibitor.  The exhibition committee will make the final decision on whether there is sufficient space for easels.
Icon fixtures: Icons must be on sturdy boards or properly framed if painted on paper.  Each icon must have a label on the back with: (1) Icon’s Title (2) Exhibitor’s name and address.  All icons must be ready to hang with secure hooks and wire in place.
Application process:  To apply, please click here to fill in this Google Form.  After you have filled in the form, please email photos with title and dimension of each icon to exhibition@bai.org.uk.
Payment and deadline.   After reviewing your application, our Treasurer Rev Christopher Perrin will contact you for payment if your icons meet the requirements.  Payments can be made via PayPal on our website or by bank transfer (details will be provided). Deadline for all payments and submissions will be at 23:59, Monday 16 June 2025.  No applications will be accepted after this deadline.
A4 size Catalogue.  A printed catalogue featuring exhibitors and their work will be produced.  Once payment is received, the Treasurer will pass your contact details to the Exhibition Secretary Rhian Dodds, who will request high-resolution images and information.  We aim to finalise all information for the catalogue before 31 July 2025.
Delivery of icon.  Preferred delivery is in person to Westminster Abbey by 11:30am on 17th September (Wed).  Larger works must be delivered before 10am.  In the case where postal deliveries is necessary, specific guidelines by the setting-up team must be strictly followed with all postage and packaging paid upfront.  We reserve the right to decline icons that are too heavy or complex to handle.
Talks and AGM.  On 20th (Sat) Exhibition will close at 2:30pm for everyone to attend the talk at 3pm at the Education Centre by BAI Honorary Patron Aidan Hart..  BAI AGM will be held at 3:45pm following the talk.
Collection of icons.  Icons must be collected in person on 20th (Sat), either by the iconographer or their representative, after the AGM (from 4 to 4:45pm).  Note that Evensong starts at 5pm at the Church.
Sale of Icons.  Sales are the responsibility of the exhibitor.  Volunteer stewards will not handle transactions or take responsibility for sales. Interested buyers will fill in a form with contact details for the iconographer to make their own arrangement.
Disclaimer.  While volunteer stewards will be present, the BAI committee, the Association and the Abbey accept no responsibility for any icons at any time.  All exhibitors are responsible for their own insurance against theft, damage, or loss during exhibition and postal deliveries before and after the exhibition.
